Free Invoice Template for Excel
A professional, UK VAT-ready invoice for teams, agencies and growing businesses. Type your line items — the amounts, subtotal, VAT, total due and due date all work themselves out.
- Totals that do themselves — quantity × unit price becomes line amounts, subtotal, VAT and total due, live.
- UK VAT built in — 20% by default; change it once on the Settings tab and every figure follows.
- Due date calculated for you — set your payment terms and the invoice date; the due date fills itself in.
- Payment details on the invoice — bank, sort code, account number and reference, so paying you takes zero back-and-forth.

Everything a proper invoice needs
Built by people who invoice for a living — not a bare spreadsheet. Open it, add your details, send it.
VAT & totals automated
Every line amount, the subtotal, VAT and the total due calculate the moment you type. No formulas to write, no mental maths, no undercharging.
Due dates done for you
Set your payment terms once. Every invoice takes its date, adds your terms and shows the client exactly when payment is due.
Payment details up front
Bank, account name, sort code, account number and a reference that mirrors the invoice number — clients can pay without emailing you first.
Reuse it forever
Keep the file as your master. Defaults for VAT rate and payment terms live on a Settings tab — set them once, save a copy per invoice.
Up and running in two minutes
No setup, no login, no learning curve.
Download & open
Grab the .xlsx and open it in Excel (or Google Sheets / Numbers). It just works.
Add your details & line items
Fill in the From, Bill to and payment blocks, then add a row per line: description, quantity, unit price.
Totals and VAT do themselves
Amounts, subtotal, VAT, total due and the due date all calculate live. Save as PDF or send the file — done.
Free invoice template (Excel) — questions
Honestly: it's a taster. We make Landing — the all-in-one platform that replaces the 40-tool stack — and a genuinely useful free template is the best introduction we know. The file is yours either way: no payment, no trial, no strings.
Yes. It's a standard .xlsx file, so it opens in Microsoft Excel, Google Sheets and Numbers. The formulas, colours and totals carry across.
Yes — VAT is calculated on the subtotal at 20% by default, and you can change the rate on the Settings tab (or overtype it on a single invoice, e.g. for zero-rated work). It's an invoice document, not filing software — you still submit VAT returns the normal way.
Of course — it's a normal spreadsheet, not a locked form. Drop your logo in at the top, restyle anything, and insert extra rows inside the items table; the subtotal keeps up automatically. Twelve line rows are ready out of the box.
